Privacy Policy

CoachTrainer.AI is operated by Agile Playground LLC ("we", "us"). This policy explains what personal data we collect when you use coachtrainer.ai (the "Service"), why we collect it, and the choices you have. Questions: office@coachtrainer.ai.

• Account data: name, email address, and a hashed password when you register.
• Profile data: your certification goal, coaching hours, training status and focus competencies, if you provide them during onboarding.
• Session content: the messages you exchange with the AI client, transcripts you upload for evaluation, and the reports generated from them.
• Billing data: your subscription plan and a Stripe customer reference. Card details are entered directly on Stripe and never reach our servers.
• Usage data: pages visited and basic device information, collected through privacy-friendly, cookie-less web analytics.

• To provide the Service: run practice sessions, generate ICF competency reports, track your progress.
• To manage your account, subscription and payments.
• To send transactional email (verification, password reset, receipts, important service notices).
• To improve the Service and fix problems.

We do not sell your personal data and we do not use your session content for advertising.

Your messages and uploaded transcripts are sent to Anthropic's API to generate the AI client's replies and your competency evaluations. Anthropic processes this data under its commercial terms and does not use API data to train its models. Reports are stored in your account so you can review them later.

We share data only with providers that help us run the Service:

• Railway (application and database hosting, United States)
• Anthropic (AI model provider)
• Stripe (payments and subscriptions)
• Resend (transactional email)
• Cloudflare (DNS, security and email routing)
• Ahrefs Web Analytics (cookie-less site analytics)

We use only strictly necessary cookies: a session cookie to keep you signed in and a small flag that remembers whether you completed onboarding. We do not use advertising or tracking cookies.

We keep your account data and session history for as long as your account exists. You can delete your account and all associated data at any time by emailing office@coachtrainer.ai; we complete deletion within 30 days. Billing records are kept as long as required by tax and accounting law.

Depending on where you live (including under the GDPR and the CCPA), you may have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to lodge a complaint with a supervisory authority. To exercise these rights, email office@coachtrainer.ai.

Our servers and providers are primarily located in the United States. If you use the Service from outside the U.S., your data will be transferred to and processed there.

Passwords are stored hashed, all traffic is encrypted in transit, and access to production data is restricted. No system is perfectly secure; if we learn of a breach affecting your data, we will notify you as required by law.

The Service is intended for adults and is not directed to children under 16.

We may update this policy from time to time. We will post the new version here and update the date at the top; material changes will be announced by email.
